Hello Co-ops and Community Groups!

We are so excited to have you all be a part of Upstate Homeschool Expo 2022. Without your participation, this event would not be possible! We hope the event is a blessing to co-ops and the homeschooling community alike. Below you will find important information to help make this a successful event for all.

Promotional Materials:
If you have elected to include material in attendee tote bags, these must be provided to Upstate Homeschool Expo organizers no later than July 7, 2022. Flyers and brochures should be no larger than 8 1⁄2” X 11” and 20 pages or less. Small promotional items (i.e., pencils, pens) may be approved, first come, first serve, depending on space available in tote bags.

Co-op/Community Group Check-in/Set up:
Check-in will begin at 5:00 pm. Co-ops & groups, will come to check in table at museum entry, and shown to reserved space. Co-ops will be responsible for their own set up as there will not be enough Upstate Homeschool Expo staff to help with set up.
Please arrive no later than 5:15 to be set up to begin promptly at 6 pm. Co-ops/Community Groups should be represented for the duration of the Expo, no packing up and/or leaving early. Co-ops/Community Groups are responsible for removing all materials and leaving their spots as they found them. Clean up should be completed and all co-ops/community groups should be out of the museum by 8:30 pm. Late departure will incur additional fees as dictated by the museum.

Museum Rules:
We must follow museum rules at all times. Candles, helium balloons, birdseed, bubbles, glitter, rice, confetti, and fog are prohibited. Hanging, tacking, pinning, or taping anything to Facility wall is strictly prohibited.

TERMS & CONDITIONS
Co-op/Community Group spaces are only for those groups that have registered and been approved by the expo organizers.
No food, drink, or scent diffusing at co-op/community group spaces.
All materials and displays should be family friendly, and apolitical: determining if a piece of the display, or item, fits those requirements will be left to the discretion of Upstate Homeschool Expo organizers, and any materials deemed in violation must be removed immediately upon request of organizers.
No signs may be hung on museum property (walls, railings, etc), only as free-standing signs brought by co-op/community groups.
Free standing signs may not be large, a tri-fold board would be appropriate for the space. If you're concerned your sign may be too big, please contact organizers to check
Co-Ops/Community Groups are ultimately responsible for their display and materials. Upstate
Homeschool Expo and TCMU assume no responsibility for losses and damages. Consequently,
vendors should take reasonable precautions, including insurance, to protect their property. And
being responsible for their health and safety.
It is the responsibility of the Co-op/Community Group to be fully familiar with these rules and
regulations and to see that each member of the company attending Upstate Homeschool Expo
2022, either as a co-op/community group personnel or registrant or both, is familiar with these
rules and regulations.

CANCELLATION POLICY
Please keep in mind that families attending the expo are counting on your attendance. Many of them have elected to attend based on specific groups they would like to connect with. If for some reason, you cannot attend, please try, and cover your spot with someone else from your group. If that is not possible, please contact the event organizers as soon as possible, so that attending families can be updated.
While the Upstate Homeschool Expo organizers will use reasonable efforts to maintain the
location, dates, times and floor plans of Upstate Homeschool Expo, the organizers reserve the right to change any of these at any time and for any reason whatsoever without an liability.
