Expo Date: June 1, 2023

Hello Exhibitors!


We are so excited to have you all be a part of Upstate Homeschool Expo 2023. Without your
participation, this event would not be possible! We hope the event is a blessing to exhibitors and
the homeschooling community alike. Below you will find important information to help make this a
successful event for all.


Promotional Materials: If you have elected to include material in attendee tote bags, these must be
provided to Upstate Homeschool Expo organizers no later than May 11, 2023. Flyers and
brochures should be no larger than 8 ½” X 11” and 20 pages or less. Small promotional items
(i.e., pencils, pens) may be approved, first come, first served, depending on space available in tote
bags.


Exhibitor Check-in/Set up: Check-in will start at 2 pm. Exhibitors will come to check in table at
expo entrance and will be shown their reserved space. Exhibitors will be responsible for their own
set up as Upstate Homeschool Expo staff will not be able to help with set up.

Please arrive no later than 3:15 pm to be set up to begin promptly at 4 pm. Tables should be manned for
the duration of the Expo, no packing up and/or leaving early. Exhibitors are responsible for
removing all materials and leaving their spots as they found them. Clean up should be completed
and all exhibitors should be out of the venue by 8:45 pm. Late departure will incur additional fees
as dictated by the venue. Exhibitors are ultimately responsible for their display and materials.
Upstate Homeschool Expo, a Homeschool Community of the Upstate event, and the venue assume
no responsibility for losses and damages. Consequently, exhibitors should take reasonable
precautions, to protect their property, and are responsible for their health and safety.


Candles, helium balloons, birdseed, bubbles, glitter, rice, confetti, and fog are prohibited. Hanging,
tacking, pinning, or taping anything to venue wall is strictly prohibited.


TERMS & CONDITIONS Exhibitor spaces are for one exhibitor only. Exhibitors may not share space.
All exhibitors must be invited by the Upstate Homeschool Expo organizers. No food, drink, or scent
diffusing at exhibitor spaces. All materials and displays should be family friendly, and apolitical:
determining if a piece of the display, or item, fits those requirements will be left to the discretion of
Upstate Homeschool Expo organizers, and any materials deemed in violation must be removed
immediately upon request of organizers. No signs may be hung on venue property (walls, railings,
etc.), only from exhibitor tables, or as free-standing signs brought by exhibitors. Free standing
signs may not be large, and need to fit right beside, or behind, exhibitor table. If you're concerned
your sign may be too big, please contact organizers to check. It is the responsibility of the
Exhibitor to be fully familiar with these rules and regulations and to see that each member of the
company attending Upstate Homeschool Expo 2023, either as an exhibitor personnel or registrant
or both, is familiar with these rules and regulations.


CANCELLATION POLICY Please keep in mind that families attending the expo are counting on your
attendance. Many of them have elected to attend based on specific groups they would like to
connect with.  If for some reason, you cannot attend, please try and cover your spot with someone
else from your group. If that is not possible, please contact the event organizers as soon as
possible, so that attending families can be updated. Due to event costs, no refund can be
given for cancellations. If event organizers have to change the date of the expo, refunds will be
made available. While the Upstate Homeschool Expo organizers will use reasonable efforts to
maintain the location, dates, times and floor plans of Upstate Homeschool Expo, the organizers
reserve the right to change any of these at any time and for any reason whatsoever without
liability.
