Hello Vendors!


We are so excited to have you all be a part of Upstate Homeschool Expo 2022. Without your participation, this event would not be possible! We hope the event is a blessing to vendors and the homeschooling community alike. Below you will find important information to help make this a successful event for all.


Promotional Materials:

If you have elected to include material in attendee tote bags, these must be provided to Upstate Homeschool Expo organizers no later than July 7, 2022. Flyers and brochures should be no larger than 8 ½” X 11” and 20 pages or less, and already printed (expo organizers cannot print them out). Small promotional items (i.e., pencils, pens) may be approved, first come, first serve, depending on space available in tote bags.

Email to select a drop-off time for materials, or to make other arrangements.


Vendor Check-in/Set up:

Check-in will begin at 5:00 pm. Vendors will come to check in table at museum entry, and will be escorted to reserved space. Vendors will be responsible for their own set up, as there will not be enough Upstate Homeschool Expo staff to help with set up.  

Please arrive no later than 5:15 to be set up to begin promptly at 6 pm. Tables should be manned for the duration of the Expo, no packing up and/or leaving early. Vendors are responsible for removing all materials, and leaving their spots as they found them. Clean up should be completed, and all vendors should be out of the museum, by 8:30 pm. Late departure will incur additional fees as dictated by the museum.


Vendors are ultimately responsible for their display and materials. Upstate Homeschool Expo and TCMU assume no responsibility for losses and damages. Consequently, vendors should take reasonable precautions, including insurance if they choose, to protect their property, and are responsible for their own health and safety.



Each vendor may have up to 4 staff members attending.  If your staff number changes from what is on your vendor application, please make sure to give expo staff your headcount prior to the event, so we can update our numbers with the venue.


Museum Rules:

We must follow museum rules at all times. Candles, helium balloons, birdseed, bubbles, glitter, rice, confetti, and fog are prohibited. Hanging, tacking, pinning, or taping anything to facility walls is strictly prohibited.



Vendor spaces are for one vendor only. Vendors may not share space.

All vendors must be invited by the Upstate Homeschool Expo organizers.

No food (unless express permission is granted, & items are packaged), drink, or scent diffusing at vendor spaces.

All materials and displays should be family friendly, and apolitical: determining if a piece of the display, or item, fits those requirements will be left to the discretion of Upstate Homeschool Expo organizers, and any materials deemed in violation must be removed immediately upon request of organizers.

No signs may be hung on museum property (walls, railings, etc), only from vendor tables, or as free standing signs brought by vendors.

Free standing signs may not be large, and need to fit right beside, or behind, vendor table. If you're concerned your sign may be too big, please contact organizers to check.


It is the responsibility of the Vendor to be fully familiar with these rules and regulations and to see that each member of their staff attending Upstate Homeschool Expo 2022 is familiar with these rules and regulations.



Due to venue rental costs, no refund can be given for cancellations, unless there is another vendor able to take your place (replacement vendor must still apply to be a vendor). 

If event organizers have to change the date of the expo, refunds will be made available.

While the Upstate Homeschool Expo organizers will use reasonable efforts to maintain the location, dates, times and floor plans of Upstate Homeschool Expo, the organizers reserve the right to change any of these at any time and for any reason whatsoever without liability.
